As for the
continuation of the topic, this chapter will covers more to the job that were
done within the group itself, the Publication and Promotion. This group
division consists of six people and each of them was assigned to certain task.
As for me, I was assigned to put on the posters on the notice board at Kuliyyah
of Laws and Economics. I was responsible to be available at the promotional
booth for participants’ registration and to keep the money as paid for the fees
safe and sound. At last, I was responsible to provide the content for
advertisement at IIUM.fm.
The group has
dynamism factors, which are; group has changed to pervasive form of promotion
in order to attract as many participants to join the seminar. The group has
number of participants’ growth every day. At certain extent, the posters and
handbills are not effective yet productive enough to attract as many people to
attend. Then, the leaders have decided to modify the way how they promote the
seminar, instead of using papers, now they were using the non-verbal gestures.
During the explanation, the body movements seem crucial added with persuasion
skill to influence people to come. Welcoming smile and warmth treatment were
given to the people who come to the booth to get clarification regarding the
details of the seminar. From there, the dynamism has improved and the recorded
participants has exceeded more than expectation. In determining the
effectiveness of promotion, all group members were briefly explained by the
head of division, so that each of the members will made known what they are
supposed to do. Every aspect was taken into consideration before any
decision-making and actions taken. Hence, it proves the efficiency of teamwork
and effective promotion. The updates had been given regularly and constructive feedbacks
were given to mark significant improvement and to enhance the motivation of the
members. Lastly, communication is essential to understand each of the group
members. It is also to build an effective system within the group and also to
bring the gap closed to avoid any miscommunication among all.
Recently, the
program of One Day Seminar of Sport Psychology has been conducted prior to the
requirement of assessment for the Sport Psychology subject itself. The seminar
was conducted in an entire day, with 200 student participation from IIUM and
outsider. It has four slots which delivered by different speakers on their
specialties and also some games and aerobic included. Overall, the seminar was
a huge successful program organized by the students in the course itself in
conjunction with Department of Psychology and ILCRD.
Before the
program was officially run, the respective committees had been working together
from all aspects. It first started with the selection of committees to be in
the main board, such as Program Manager, Program Coordinator, and other
divisions as such Preparation and Technical, Special Task, and so on. After
finished with the selections and everyone has the group, the first meeting for
the program was initiated by the Program Coordinator.
During several
meetings, the momentums of all leaders were seen as something powerful to shift
the written works to the actions. The momentums fostered to the members within
the division have driven to the high productivity and attitude among members.
As for me, I was in Publication and Promotion division, the tasks were to
promote this seminar to the students and invite them to be the participants. The
promotion not only ends in the IIUM, but it was also expanding to the outside
of university. The tasks were designing the posters and committees name tag, decorating
the promotion booth, distributing hand bills to passer-by, put on the posters
onto all notice boards at the Kuliiyyah, so that people may see and get the
information. If they interested, they may register at the promotional booth and
pay the fees. In order to attract students to come and participate, few
privileges being introduced, for instance, the certificate, credited star
point, and refreshments as inclusive in the fees paid. So, they would come not
only to enjoy the seminar and get the benefits. Not going back with bare hands,
but they also being rewarded for something extra as an appreciation for
spending the whole Saturday to attend to the seminar rather than going back to
hometown.
Although the
working environment was full of stress, the teams managed to have enjoyable
working time. The conditions were to have strong bonding with each other and to
ensure the works were smoothly done and everybody has responsibility to assist
anyone who needs help.
As mentioned
above, everybody has responsibility to assist anyone who needs help. Each of
the respective committees was obliged to give full cooperation and commitments
to ensure the successfulness of the seminar. Lend a hand to help others finish
the jobs on time and to eliminate any selfishness feelings among team members. In
this stage, while demanding for others contribution, communication is crucial
among the others. It is to ensure the flow of orders can be delivered directly
to the person, who is responsible for the jobs. If the communication is
lacking, others may not know which division needs help and therefore, crisis
will arise as the matter of miscommunication.
The next point,
to fasten the works within members, effective leadership must be displayed.
Leaders must be enthusiast to inculcate the spirit of togetherness. He or she
must also have the strength to coordinate people and give order to them. In
this seminar, leaders were responsible to monitor their sub-committees either
they do the job or not. The leaders need to direct people who are under him to
perform certain parts or tasks pertaining to the requirement needed in the
division. Later, the leaders need to evaluate the outcomes through updates from
the respective people and give feedbacks onto the matters. It is for
improvement of works.
The final point
for this chapter related to the seminar is the ethical conduct that must be
followed by the leaders and other people while doing their works. Everything
must be observed and therefore, the purpose of doing the works must be
sincerely to be rewarded by the Almighty. The works done must be in line to
please Allah and at the same time to give benefits to those who come to the
seminar.
